Tips to Planning an Office Meeting

1. Know you Purpose

What is this meeting for? Is it an in office conference, a meeting with outside vendors, a birthday party or celebration? Whatever it may be, simply knowing what exactly it is will help the planning go right.


2. Create an Agenda

This will not only help you throughout the meeting, but it will help the attendees. The agenda allows you to stay organized and set expectations for what is coming ahead.


3. Know your Audience

This goes along with knowing your purpose, knowing your audience will help you be able to determine what kind of language to use, formal or informal, as well as shaping your content and professional tone during the meeting.


4. Timing is Everything

Timing means what time of the day this meeting is. If morning, know that everyone may be a little sleepy and a strong intro will wake everyone up. If it is late in the day, also know that people may be looking at their watches to go home to keep content relevant and interesting.


5. Plan the Food!

If this is a morning meeting, provide coffee or some kind of breakfast to start out the meeting.
